Schedule a Highfive Meeting: Outlook Calendar

If you're a Microsoft Outlook 2010-2016 user, the Highfive for Outlook Calendar Add-in makes scheduling Highfive calls in your calendar a one-click process.

 

Choose your Outlook experience:

Web browser-based: You check your email and use your calendar in a web browser, such as Internet Explorer, Google Chrome, or Mozilla Firefox. 

Desktop app: You check your email and use your calendar in a dedicated Outlook application, which is a separate application from your web browser. 

 

I Use Outlook in a Web Browser

  1. Log into Outlook in your web browser. 
  2. Go to this link to get the Highfive Video Conferencing Add-In:

How to Use the Add-In:

  1. Click on the menu grid button at top left corner of page.
  2. Select Calendar.

  3. Create a new calendar event.
  4. Fill out the event Details and invite any attendees.
  5. Click on the Highfive icon in the toolbar ribbon at the top of the page.

  6. A new Highfive panel will open on the right side of the page.
  7. Click Add meeting link.

  8. A template will automatically be populated into your event’s description field that contains the Highfive meeting video call and phone link (if applicable).
  9. Send/Save the invitation.

  10. When it's meeting time, participants can click the Join video call button (or go directly to the meeting link in the event description) to join you in the call.

I Use the Outlook Desktop App on My Windows PC

 

 

  1. Download and install the Highfive application, which also automatically installs the Highfive Outlook add-in to your computer.
  2. Go to your Outlook Calendar.
  3. Under the Home tab, click New Meeting.
  4. First time using the add-in? Click on the Highfive Login button. (Can't find this button? Click here for troubleshooting steps.)

  5. Your web browser will open and prompt you to sign into Highfive if you aren’t already logged in.
  6. Click Allow to use the Outlook Calendar Add-in.

  7. The Highfive button within your Outlook Calendar will now show Add video call.

  8. Highfive! Your Outlook Calendar Add-in is ready to use.

 

How to Use the Add-In:

  1. Create a meeting within your Outlook Calendar. For more information on how to do this, visit Microsoft’s Support Site here
  2. Once complete, click on the Highfive Add video call button.

  3. The subject name of your event will be used to automatically create a Highfive meeting and a template will be inserted into your event's description field.
  4. For customers on Highfive service plans that include the phone dial-in feature, a phone link is also automatically added. For more information on how to dial-in, click here
  5. Highfive! At the time of the meeting, participants will only need to click the Join video call button or meeting link in the event description to automatically launch Highfive and join the call.

I use the Outlook Desktop App on My Mac

Note: This feature is only available to Outlook users with an Office 365 (O365) subscription.

  1. Open the Outlook application.
  2. In your Outlook toolbar ribbon, select Store.
    • If you do not see this option, check with your trusted IT team or system administrator to ensure that your version of Exchange supports Office 365 and that your Outlook user account is associated with Office 365.
  3. Select My add-ins
  4. In the top-left, click on the option to add a custom add-in.
  5. Select Add from URL…
  6. Under Add private add-in from a URL, copy/paste this link into the text field and click OKhttps://start.highfive.com/outlook/manifest.xml
  7. Click Install.
  8. The Highfive custom add-in will be installed and added to your Add-Ins list.
  9. Create a new calendar event.
    • Steps on how to do this can be found on Microsoft's Support site here
  10. Click on the Highfive icon in your Outlook toolbar ribbon. 
  11. The Highfive add-in will open on the right side of the Outlook window. Click Sign-in to complete the setup process.

How to Use the Add-In:

Known Issues

 

Outlook 2010: If you're running Outlook 2010 and do not see the Highfive add-in, you'll need the following:

 

Outlook 2016: If you're running Outlook 2016 and do not see the Highfive add-in, you'll need the following:

 

Others:

  • Add-in Conflict with Skype: Some customers report being unable to see the Highfive add-in until they disable their Skype add-in and set the Highfive add-in to always be enabled. Microsoft's steps on how to manage these settings for Office 2016 can be found here
  • Install Order: If you have the Highfive application and then install Outlook afterwards, you’ll need to uninstall and reinstall the Highfive application for the Outlook Add-in to function.
  • Missing Add-in: If you are on a Windows computer and are still not seeing the Highfive Add-in you may need to reinstall the VSTO file. Pick your user profile > appdata> local> Highfive > Outlook add-in and then double click on the VSTO to reinstall.  
  • Internet Explorer and Google Chrome users: If you don't have a browser window open before clicking on a Highfive meeting link within Outlook Calendar, you’ll be put into a Highfive application update loop. To fix this, open a browser window, and then click the Highfive meeting link within your calendar afterwards.
